We are looking for a highly organized an Administrative & HR Support Specialist to become a member of our Team in Warsaw.
Requirements:
- At least 2 years of hands-on experience in an administrative role in Poland (HR/office administration).
- Strong organizational skills and high attention to detail.
- Ability to work with documents and keep processes well organized.
- Languages level: Polish, English, Russian – at least B2.
- Good command of MS Office (Word, Excel).
Nice to Have:
- Experience working with accounting processes or document flow in Poland.
- Experience supporting employee legalization processes.
Responsibilities:
- Providing day-to-day administrative support to the Director and management team.
- Managing office documentation and records, including employee files and contracts.
- Supporting HR administration tasks (contracts, annexes, employee data updates).
- Acting as a contact point with the external accounting provider (invoices, payroll-related data, documentation).
- Handling incoming and outgoing correspondence, preparing official letters and documents.
- Coordinating employee legalization and relocation processes (communication with vendors and public authorities).
- Ensuring smooth office operations and assisting with internal processes and organization.
